What You'll Do:
  • Manage daily office operations: Oversee the day-to-day activities of the office to ensure an efficient, organized, and productive environment.
  • Support leadership team: Act as the key point of contact for the management team, coordinating schedules, meetings, and administrative support.
  • Coordinate office systems: Maintain and improve both digital (Dropbox) and physical filing systems for easy access to important documents.
  • Inventory and supplies management: Handle office supply purchasing, maintain kitchen and office supplies, and coordinate with vendors for cleaning services.
  • Employee and client communications: Welcome new employees, ensure they are set up for success, and create client-facing materials (e.g., welcome packets).
  • IT & equipment support: Manage basic IT needs, including troubleshooting connectivity issues and liaising with customer service for office technology issues.
  • Event and meeting coordination: Organize internal and external meetings, events, and company-wide communications.
  • Assist with special projects: Assist with special projects and unexpected challenges, bringing creativity and resourcefulness to every task.

What We're Looking For:
  • Excellent organizational skills with a proactive mindset.
  • Strong communication skills both written and verbal, with the ability to liaise effectively with all levels of the organization.
  • Proficiency in office software (e.g., Microsoft Office Suite, Google Workspace, Dropbox)
  • Knowledge of IT basics.
  • Experience in office management or administrative support roles (preferred).
  • Multitasking ability and a flexible approach to shifting priorities and demands.
  • Positive and collaborative attitude, with a focus on team success and office morale.
  • Ability to Commute or Relocate to San Rafael
